Welcome to Meraki Travel Experiences, a service of Meraki and Company LLC, a New Hampshire limited liability company. By accessing or using our services, you ("participant," "client," or "user") agree to comply with these Terms and Conditions, which constitute a legally binding agreement. Please read them carefully before proceeding.

 

Business Identity and Legal Disclaimer

"Meraki Travel Experiences" is a trade name used by Meraki and Company LLC. All transactions, communications, and agreements conducted under the name "Meraki Travel Experiences" are legally executed by Meraki and Company LLC.

Privacy and Data Protection:

Your personal information is processed in accordance with our Privacy Policy, available at https://www.merakiexperiences.com/privacypolicy. By using our services, you consent to the collection, use, and processing of your personal data as described in our Privacy Policy and these Terms. We comply with applicable US privacy laws and, for clients traveling to international destinations, provide additional protections as required by destination country regulations.

 

Definitions

​

  • Private Client Trip Planning and Booking: Personalized trip planning services for Greece (and expanding to other EU countries and the United States), including advisory services and direct booking of accommodations, transportation, and activities on behalf of clients.

  • Workshops and Retreats: Multi-day professionally led experiences focusing on arts, culture, wellness, and specialized skills, conducted primarily in Greece with expansion to other EU countries and the United States.

  • Packaged Trips: Pre-planned multi-day travel packages with fixed itineraries, such as sailing, hiking, or cultural immersion experiences, primarily in Greece with expansion to other locations.

  • Participant: Any individual engaging in Meraki's services.

  • Vendor: Any third-party service provider, including travel agents, accommodation providers, transportation companies, and workshop professionals.

 

Scope of Services

  • Private Client Trip Planning and Booking: Personalized trip planning and direct booking services for Greece, with expansion to other EU countries and the United States as available. Services may include advisory consultation only or full-service booking including accommodations, transportation, activities, and other travel arrangements.

  • Multi-Day Workshops and Retreats: Professionally led multi-day experiences in Greece (and expanding locations) with included accommodations, meals, instruction, and coordination.

  • Packaged Multi-Day Trips: Pre-planned multi-day travel packages primarily in Greece, including housing, transportation, activities, and other arrangements.

  • Geographic Operations: Currently operating primarily in Greece with services expanding to other European Union countries and the United States as demand and partnerships develop.

 

Service Provider Role: Meraki acts as both a facilitator/intermediary and, for certain private client services, as a direct booking agent. When booking on behalf of clients, we act with appropriate authority and assume corresponding responsibilities for those specific arrangements.

 

Data Collection: We collect personal information necessary to provide these services, including contact details, travel preferences, health information, and payment data. For private client booking services, we may also collect and process payment information on behalf of clients for vendor services. All data collection and processing is governed by our Privacy Policy.

 

Booking and Payment Policy

Meraki Services:

​

  • A 50% non-refundable deposit is required to confirm your booking for workshops, retreats, or packaged trips, unless otherwise stated in specific travel documentation. The remaining balance is due 60 days prior to the trip start date or the stated due date.

  • For private client trip planning and booking services, payment terms may vary based on the scope of services and will be outlined in your service agreement.

Third-Party Bookings:

 

When we book services on behalf of private clients, separate payment terms may apply for vendor services, and clients are responsible for all vendor charges according to vendor terms.

​

  • Payments are processed securely through third-party payment processors. A 3% processing fee applies to credit card transactions.

  • Accepted payment methods include credit card, PayPal, or bank transfer.

  • Bookings made within 60 days of the trip require full payment at the time of booking.

  • Failure to make payments by the stated deadlines may result in cancellation of your booking without refund.

 

Payment Data: Payment information is processed by our payment service providers in accordance with industry security standards. We do not store complete credit card information on our servers. Payment data is retained as required by law and our payment processors, typically for 7 years for tax and legal purposes. For private client booking services, additional payment data may be processed for vendor transactions.

 

Travel Insurance Requirement

  • Comprehensive travel insurance is required for all participants and must cover cancellations, medical emergencies, and trip interruptions.

  • Proof of insurance must be provided prior to departure.

  • Insurance information may be shared with relevant service providers as necessary for trip coordination and emergency response.

  • Meraki Travel Experiences is not responsible for costs arising from insufficient or lack of insurance coverage.

 

Cancellation Policy

​

  • Non-refundable Deposit: All deposits are non-refundable unless otherwise stated in specific travel documentation.

  • More than 60 days before departure: Eligible for a refund of up to 50% of the total amount paid (excluding the non-refundable deposit).

  • Less than 60 days before departure: No refunds will be issued.

  • Refunds are processed within 30 business days of receipt of a written cancellation request.

 

Data Retention After Cancellation: Personal data related to cancelled bookings is retained as required by law for tax and legal purposes. You may request deletion of non-essential personal data by contacting legal@merakinco.com.

 

Rescheduling Policy and Change Fees

​

  • Rescheduling requests must be made in writing at least 30 days prior to the trip start date.

  • A $250 administrative fee will apply to any booking changes, unless otherwise stated in specific travel documentation.

  • Rescheduling is subject to availability and may result in price adjustments.

 

Participant Responsibilities

​

  • Participants are responsible for ensuring they are physically fit for the trip and associated activities.

  • Medical conditions, dietary restrictions, and accessibility needs must be disclosed in writing at the time of booking to ensure appropriate accommodations and safety measures.

  • Participants must provide accurate and complete personal information necessary for travel arrangements, safety, and legal compliance.

  • All participants must have valid passports with at least 6 months remaining validity and comply with entry requirements for destination countries (EU entry requirements for Greece and other EU destinations, or domestic travel requirements for US destinations).

  • Participants are expected to behave respectfully and comply with all instructions from guides, staff, or facilitators.

  • Disruptive behavior (e.g., harassment, excessive intoxication, or endangering others) may result in removal from the trip without refund.

Data Accuracy: You are responsible for providing accurate personal information and promptly notifying us of any changes that may affect your travel arrangements or safety.

 

Vendor and Third-Party Liability

​

  • Advisory Services: When providing advisory services only, Meraki is not liable for any actions, negligence, or omissions by third-party vendors that clients book independently.

  • Direct Booking Services: When booking services on behalf of private clients, Meraki exercises reasonable care in vendor selection but is not liable for vendor performance, though we will assist in resolving issues within our reasonable control.

  • Clients must review and agree to vendor terms separately for all bookings.

  • Personal data may be shared with vendors as necessary to provide services, subject to appropriate data protection agreements.

Privacy and Data Protection Rights

​

  • Data Processing: By booking with us, you consent to the processing of your personal data for trip coordination, safety, communication, and legal compliance.

  • Marketing Communications: You may opt out of marketing communications at any time by contacting legal@merakinco.com or using unsubscribe links in our communications.

  • Your Rights: You have rights regarding your personal data, including access, correction, deletion, and portability. For clients traveling internationally, you may also have additional rights under destination country privacy regulations.

  • Data Transfers: Your personal data may be transferred internationally in connection with travel services, with appropriate safeguards in place.

Waiver of Liability

​

By booking with Meraki Travel Experiences, participants agree to waive and release all claims against the company, its employees, contractors, and agents for:

  • Injuries, illnesses, or damages arising from participation.

  • Acts or omissions by third-party service providers.

  • This waiver does not extend to claims arising from gross negligence or willful misconduct.

 

Force Majeure and Program Adjustments

​

  • Meraki Travel Experiences is not responsible for trip interruptions caused by events beyond its control, including but not limited to natural disasters, pandemics, strikes, political unrest, or government travel restrictions.

  • In such cases, programs may be adjusted, rescheduled, or canceled. Refunds for such changes will be subject to the Refund and Cancellation Policy.

Photography and Media Release

​

  • During trips and workshops, photographs and videos may be taken for promotional, marketing, or archival purposes.

  • Consent: By participating, you provide consent for such photography and use of your likeness in our marketing materials.

  • Opt-Out Option: If you do not wish to appear in photographs or marketing materials, you may opt out by notifying us in writing before or during your trip.

  • Data Retention: Marketing materials containing your likeness are retained according to our Privacy Policy. You may request removal at any time.

  • No Compensation: No compensation will be provided for the use of your likeness in marketing materials.

 

Emergency Care Protocols

  • Participants consent to emergency medical care, including CPR and first aid, if necessary.

  • Emergency Data Sharing: In medical emergencies, your personal and health information may be shared with emergency services, medical facilities, and your designated emergency contacts.

  • International Medical Care: Medical care in international destinations may involve data transfers and processing under destination country privacy laws.

  • Any medical costs incurred will be the participant's responsibility.

Communication and Contact Preferences

​

  • We may communicate with you via email, phone, SMS, or secure messaging applications.

  • You may specify your preferred communication methods when booking.

  • Emergency communications may use any available contact method regardless of your preferences.

 

International Considerations

​

  • International Operations: Services are provided primarily in Greece with expansion to other EU countries and the United States.

  • International Destinations: When traveling to international destinations, you may be subject to additional consumer protection and privacy rights under destination country law.

  • US Operations: For services within the United States, US federal and state consumer protection laws apply.

  • Jurisdiction: While these Terms are governed by New Hampshire law, certain destination country regulations may also apply to services provided within their territory.

  • Currency: All prices are quoted in US Dollars unless otherwise specified.

Dispute Resolution

​

  • These Terms and Conditions are governed by the laws of New Hampshire, USA.

  • Any disputes must first undergo mediation in good faith.

  • If mediation is unsuccessful, matters will be settled through binding arbitration in Rockingham County, New Hampshire.

  • International travelers may have additional dispute resolution rights under applicable destination country consumer protection laws.

Intellectual Property

​

  • All itineraries, workshop materials, and content created by Meraki Travel Experiences are the intellectual property of Meraki and Company LLC and cannot be reproduced or distributed without written permission.

 

Severability Clause

​

  • If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

Acknowledgment of Agreement

​

By booking with Meraki Travel Experiences, you acknowledge that:

​

  • You have read and understood these Terms and Conditions and our Privacy Policy.

  • You agree to be bound by all provisions stated herein.

  • You consent to the collection and processing of your personal data as described.

  • You understand your rights regarding your personal information and how to exercise them.
